As my final week draws to a close, I am wrapping up my research with one final post to summarize what I have learned.
I came in thinking that there was a quantifiable percentage of time dedicated to both serving the government and serving the client. I thought that around 75% of the time would go to filing government forms and making sure plans are in compliance, and the other time would be spent talking to clients and administrating each plan.
However, my research has showed me that there actually is not a quantifiable amount of time being spent on each thing; in fact, much of the government-related and the client-related work overlaps. Filling out Account Reconcile and Balance and Income sheets helps the client know what is going on in their plan and the financial state of their plan as a whole, but it is also important to helping us with compliance testing for the government.
Also, not everybody does the same thing; some don't ever talk to clients, and some don't fill out Account Reconcile and Balance and Income sheets. As a result, you can't quantify allocation of time, because everybody's allocation is different.
I really enjoyed my time as an intern for MGKS. All of my co-workers were very nice, and I got a lot of experience in the workplace. I am happy that I enjoy accounting, and am very excited to study it in college. I hope you liked reading my blog, and I hope you learned a lot too!

Efficiency In The Workplace
Included in the survey were also questions regarding what helps you work, such as listening to music and snacking.
Most of my coworkers seem to enjoy a tasty snack while they work (same goes for me). They also all said that snacking helps keep them focused on work.

Filing a Tax Return
While my work doesn't deal with filing tax returns, I have learned what not to do with taxes from the people around me (many of them are CPAs).
You see people all over the internet that received their tax refund, and go buy a video game console or a tiger or something, and you think, I want that! Well, here's why you don't:
That money is not free money that the government is giving you out of the goodness of their heart; it's YOUR money that YOU overpaid. No big deal though, they're giving it back to me, right? Wrong. It's always better to owe money, because someone could easily steal your identity and file a tax return in your name
(this has happened to my parents both the last 2 years). If you are getting a refund and someone files a tax return in your name, they now have your money, and you're fresh out of luck. But if you owe money, then the identity thief doesn't get anything (what're they gonna do, pay your taxes for you?). The money you would have gotten back as a refund, you already have, and you just owe some money to the government.

Through my work, I have come to learn that the opposite is true: you need to start saving NOW. When you've just started working, you should have a strict budget; instead of buying the new PlayStation or going on that trip with all your friends, you should save that money for retirement. When you're young, you don't have kids to pay for or, and you may not even have a mortgage or a car loan yet. This is when you need to start saving.
I know it's exciting to have your first professional job, now you have money and can buy the things you want, but what you really need is to save, save, save. Your future self will thank you. Because once you hit the age where you want to get married and have kids, you can cut back on the saving, because the dividend and interest money you get off the money you saved when you were young will make it so you don't have to save as much in the future.
Bottom line, SAVE NOW! This is something you can't put off.

Online Statements
Some of our statements we get online. While it would seem like it would be much easier to do things online, it is actually a huge pain.
Because of all the security on these sites, in order to access the online statements, we have to have an account set up for us. To get this account, we have to ask the plan administrator to ask the statements company, Like Morgan Stanley, to set it up. All this can take days to set up, which means we have to put work for that plan aside for a while.
Once we have an account, a password must then be created for us. The company gives the password to the plan administrator, then the administrator gives the password to us. However, these passwords expire within a few hours of being created if they are not used to log in. The first 3 times we got passwords, too much time must have passed, because we were unable to log in with it. By the time we finally got the password to work, we hours had passed.
And when we finally did log in, there was a SECURITY QUESTION! So we had to email the plan administrator to find out what town she was born in so we could finally access these plans and get going with the work we had to do.
All in all, I much prefer having physical statements to online statements. It takes a long time to sort them all, but it's much less frustrating than dealing with all the excess security. Sorry trees. You lose this round.

What I'm Currently Doing
This month, we just got 3 huge bins of account statements. I'm opening them and sorting them to DC and DB plans. DB goes upstairs and I don't deal with them. As for DC plans, I alphabetize them and file them away in the file cabinet, where we use them later for our beloved excel documents.

Everything Hangs In The Balance
One of the most annoying things about accounting is having to make sure everything balances. Whether it's $50,000 or a few cents, it all has to be accounted for.
While entering data from my spreadsheets into other spreadsheets, I encountered this problem: there was an entire 12 cents missing. 12 whole cents! It might not seem important, but if you're being paid to keep track of someone's money, you better be keeping track of it. It took me over an hour to figure out where this 12 cents was and why it wasn't balancing out. I had to re-check all the numbers I entered into the spreadsheet, which is difficult when you have to keep switching between tabs (which is why most of the people I work with have 2 screens).
Eventually I was able to find the 12 cents: there was a plan for an employee within the company that was with a different financial institution, so his account wasn't in my first spreadsheet with all the account data, but it was already accounted for in the balance sheet. This account earned, wait for it, a whopping 12 cents in dividends the entire year! This just goes to show how time consuming it can be to account for money that really doesn't even matter and nobody cares about (sorry penny, but let's face it, all you're good for is scraping the silver stuff off a lottery ticket).

How the Government Makes Life Harder
And now we come to the fun stuff. The Government.
Perhaps the most time consuming part of accounting is making sure that you are in compliance with the government. In fact, there is a 8 book set of books that describe the laws that require compliance. Each book has thousands of pages. The 8th book is just the index.
My on-site adviser gave me a question and challenged me to find the answer in one of the books. I couldn't even navigate my way through the index, let alone find the answers I was looking for. Government compliance is a pain because there are so many laws and regulations, and it is hard to follow them all. My adviser told me that before they can really understand the current volume, the next year rolls around and a new volume of books comes out. It's as if they write the laws faster than we can understand them!
As discussed in a previous post, there are many different types of retirement plans. The government has set regulations regarding how much money a company can put into each employee's retirement plan (mostly for tax reasons, they don't want companies to write off a ton of deposits). During this time of the year, we must review all the companies and their plans to make sure they are in compliance. If they fail, we have to make sure they take back the money they deposited (or fix whatever the problem was). This year, we've had a much larger amount of failed compliance tests, which means we have to put aside other projects to make sure the companies pass their compliance before the March 15th deadline.
Government compliance is very important, because we would get in big trouble if we ignored it. Spending tons of time working through the legislation is unavoidable.

The Beauty of Excel Spreadsheet
Excel Spreadsheet is the lifeline of accounting. To put it simply, without Excel I would MUCH rather be working at the DMV than being an accountant. Excel has the means of double-checking your numbers for you and adding numbers together with a simple equation, as well as organizing your numbers in a way that is easily readable.
One of the best parts of Excel is the functions; if you can do Excel functions, you can rule the world. Say you want to add two numbers together. All you have to do is, in the space you want, put an equals sign and click on the first number you want to add, the hit + and click on the second number. Hit enter, and boom you have an equation. The best part is, the equation isn't actually adding the numbers; it's adding the spaces in the spreadsheet. So if you're adding column A row 1, and Column B row 1, your equation would be =A1+B1. Then take the space with the equation and drag the corner down, and the equation will be copied to all the spaces you dragged it too. But the best part is that it automatically adjusts the equation for each row; In row 2, it would be =A2+B2, and row 3 would be =A3+B3.

More on Account Statements
A big part of this internship has been the account statements, so I wanted to explain more about them.
The statements come from companies like TD Ameritrade, Wells Fargo and Merrill Lynch.
These statements usually come monthly, and detail all the transactions that happen within a certain account. What I do is I need to check the balance from the end of the previous month and the balance at the end of the current month, and check all the transactions to make sure they all dd up. For example, let's say that Bob's account had $100 at the end of January, and $200 at the end of February. Bob deposited $150 into his account. He also took in $25 in dividend money. That makes a total change of $175 in the month of February. Logically one would think that he would not have $275 in his account, the first $100 and this month's $175. But he doesn't, he has $200. Where did that $75 go? The account statement will contain information on the seemingly missing money. If you look through the statement, you'll find that there was a $50 fee charged to the account. Also, his stocks wend down in value by the amount of $25. That accounts for the missing $75.
Each company's statement has a different layout, but all convey the same information. With this information, I go through and figure out what went into and out of the account, and make sure all the numbers add up. Obviously most accounts deal with numbers much higher than a few hundred dollars. Usually the accounts contain hundreds of thousands of dollars, sometimes even millions. The more money in the account, the more activity in the account; accounts with not very much money usually don't have investments and dividends to worry about.

Week 2
This week I worked with spreadsheets and entered data from account statements. For example, I took note of changes in account balances, and entered deposit/withdrawal and interest/dividend data. One thing that made the process go a lot faster was the using equations in excel. Instead of havig to type all the numbers into a calculator to add them all up, excel will add up numbers via a simple equation. This was a huge time saver.
After entering all the data came the real time consuming part. All the statements had to be scanned into pdf documents. The scanner is this big clunky thing. The most annoying part as that the scanner didn't remember the settings you typed in the scan before; for every new scan, you have to specify where the document is to be scanned to (for my case, it was the intern computer), make sure you check that the document is to be scanned double sided, and, if necessary, scan the document in color (this is necessary for some statements where the numbers look gritty and hard to read if not scanned in color). And even when you do all this, sometimes the pages of the paper stick together and you have to re-scan the whole thing because a page is missing on the pdf. Which means you have to count every page of every document and make sure the document and the pdf match up. It took me all day to scan in and check just a stack of documents.

The process of scanning documents is different than receiving them electronically because they are at no point of the scanning process being delivered via online means. Week 1
Important terms:
A 401k is a company/employer sponsored retirement plan that allows workers to take out a portion of money from their daily paychecks, store it on a retirement plan account and earn interest that is tax-deferred, meaning this saved income is not taxable until you withdraw it when you retire.
With a profit sharing plan, the company can decide from year to year how much of the employee's pay to contribute (or whether to contribute at all) to the employee's plan. If the company does not have a profit, it does not have to make contributions to the plan. The employee makes no direct contribution to the plan.
Finally, a defined benefit plan is a company pension plan where an employee's pension payments are calculated according to length of service and the salary they earned at the time of retirement.
What I did this week:
This week I worked on sorting and filing account statements. Account statements are summaries of retirement savings accounts, either 401(k) plans. profit sharing plans or defined benefit plans.

The most important part of this process was alphabetizing everything, which made the process a lot faster, though it was still slow.
A 401k is a company/employer sponsored retirement plan that allows workers to take out a portion of money from their daily paychecks, store it on a retirement plan account and earn interest that is tax-deferred, meaning this saved income is not taxable until you withdraw it when you retire.
With a profit sharing plan, the company can decide from year to year how much of the employee's pay to contribute (or whether to contribute at all) to the employee's plan. If the company does not have a profit, it does not have to make contributions to the plan. The employee makes no direct contribution to the plan.
Finally, a defined benefit plan is a company pension plan where an employee's pension payments are calculated according to length of service and the salary they earned at the time of retirement.

Introduction
Hello all and welcome to my blog!
This blog is dedicated to my Senior Research Project that I am conducting during my final trimester of high school. I am very excited for this opportunity and I can't wait to learn more.
I will be studying accounting at Barrett Honors this Fall. I am interested in how an accounting firm dedicated to pension administration (a firm that manages retirement accounts); meaning how much time they spend doing government-required tasks vs. mail sorting vs. talking to the client, etc.
More to come as I continue further with my internship, which starts Monday, February 8th!
